Duplicate Values in Content Central

During the capture or commit process, a field value can be checked to see if there is a duplicate value. Further, the duplicate value can be limitted or dependent on another field.

Steps: 
Login as Admin or member of the Administrator Group.
Go to Administration > Global Field
Navigate to the Details Page of the Global Field to configure. 
In the "Manage Global Field Details" Page:
CHECK or UNCHECK "Check for duplicate value on update/commit" Setting
CHECK or UNCHECK "Limit duplicates by other Field" Setting. Select another Field. 
Click "Apply" to save settings.
 


Check for Duplicate Value


When the "Check for Duplicate Value" Setting is CHECKED, for the document using the Field, upon capturing of a document, or upon clicking on "COMMIT" on the PROPERTIES Panel, the 1 (one) field value entered will be checked and compared with existing documents in Content Central. If the value committed already exist in Content Central, a "duplicate value" prompt will appear in the Properties Panel. 

A user have these options: 

Update the field to a new value and click on "COMMIT".

Click "COMMIT" again to continue committing the document with the duplicated value. 

A user with appropriate ADD or FIELD EDIT permission is not prevented to commit a duplicate value. 



Limit duplicates by other Field


When both the "Check for Duplicate Value" Setting and "Limit duplicates by other Field" Setting are CHECKED, and another Field is selected, upon capturing of a document, or upon clicking on "COMMIT" on the PROPERTIES Panel, the 2 (two) field values that were entered for the fields involved in the duplicate settings will be checked and compared with existing documents in Content Central. If the combination of the field values committed already exist in Content Central, a "duplicate value" prompt will appear in the Properties Panel. 

A user have these options: 

Update the field to a new value and click on "COMMIT".

Click "COMMIT" again to continue committing the document with the duplicated value. 

A user with appropriate ADD or FIELD EDIT permission is not prevented to commit a duplicate value.
