How to Search for Documents

Content Central gives you two ways to find documents: a fast Quick Search, and an advanced Power Search.

Which one should I use?

  • Quick Search (the magnifying glass, top-right): the fastest way. Type a word and press Enter. It looks inside both your document text and the document's field values, across every catalog you're allowed to see.
  • Power Search: more control. Limit the search to specific catalogs or document types, and add conditions on individual fields.

Step 1: Sign in

Open Content Central in your web browser. Type your Username and Password, then click Login.

Step 2: You land on the Dashboard

After you sign in, the Dashboard appears. From here you can use either search method.

The fast way: Quick Search

Click the magnifying glass in the top-right corner. A Search… box appears. Type your words and press Enter. Your results open in a list (the same kind of list shown under Read your results below).

What Quick Search finds. Quick Search always looks inside both the text of your documents and their field values. So it can find a document by a field value: like an invoice number or a name: even when that value doesn't appear in the document's scanned text.

The advanced way: Power Search

Use Power Search when you want to narrow the search to certain catalogs or filter by specific fields.

Open Power Search

Click the menu button in the top-left corner. In the navigation panel, click Search to expand it, then choose Power Search.

Type your search

Type your words in the Enter search terms… box, then click Search (or press Enter). Turn on Exact phrase to match the words exactly as typed.

Narrow by catalog (optional)

Click All Catalogs to choose exactly which catalogs to search. Tick one or more, or use Select All. After you choose catalogs, you can click All Document Types to narrow further, or Field Filters to add conditions on specific fields.

Click All Catalogs and tick the catalogs you want to search.

Read your results

Matching documents appear in a list, with a count at the top (for example, “Showing 50 of 79 results”). Click any document to open it and preview its pages.

How Power Search decides what to search.

  • If you type words in the search box, Power Search searches the full text: document text and field values: just like Quick Search.
  • If you leave the search box empty and only use Field Filters (or pick a catalog/document type), Power Search runs a precise field-only search that matches your field conditions exactly.

Tip: Saved Searches. Use the Saved Searches menu at the top-right of the Power Search page to save a search you run often and re-run it with one click.

What you can find. Either way, results only include catalogs and document types you have Search permission for.
