This applies to Content Central v7.0 and above.
While Folder Building Items can be configured for a Document Type, so that specific Document Properties can be used to create Folders in the Catalog Folder, a user can also bypass the Folder Building configuration, so that the document will not be moved from the original Folder.
The following settings must be applied, so that a user will be able to bypass the Folder Building Configuration, and the document will NOT be moved from it's original folder.
- Folder & File Building Setting 'Allow Users to bypass folder and file building when editing document properties' is CHECKED, for the configured Document Type.
- Properties Panel Setting 'Use Filing Rules' is UNCHECKED, when clicking on 'Commit'.
1. Login to Content Central As Admin.
2. Go to Administration > Catalogs & Document Types. Select a Catalog & Document Type.
3. Go to 'Folder & File Building'.
4. For the setting 'Allow Users to bypass folder and file building when editing document properties'
When 'CHECKED', an option/setting 'Use Filing Rules' will appear in the Properties panel for documents assigned to the configured Document Type.
When 'UNCHECK', and Folder Building Items are configured, a document committed to the configured Document Type will be filed or moved to Folders based on the Folder Building Items.
Use Filing Rules
When a Document Type is configured in 'Folder & File Building' with a CHECKED setting for 'Allow Users to bypass folder and file building when editing document properties', in the Properties Panel, an option 'Use Filing Rules' will appear for the document assigned to the configured Document Type, such that:
- IF 'Use Filing Rules' is CHECKED, while clicking on 'Commit', the document will be moved to a folder based on the Folder Building Items.
- IF 'Use Filing Rules' is UNCHECKED, while clicking on 'Commit', the document will NOT be moved to a folder based on the Folder Building Items.
