Approval Process System Settings


This applies to Content Central v7.0.

ALL the Approval Process System Settings applies to ALL Catalogs and Document Types configured in Content Central.

Steps to Navigate to System Approval Process Settings

Login as Admin, or member of the Administrator Group.

Go to Administration > System Settings.

Under Approval Process Settings, CHECK or UNCHECK the Approval Process Settings or options.

ALL the Approval Process System Settings applies to ALL Catalogs and Document Types configured in Content Central.

Click 'Apply' at the bottom of the page to save the settings.

Allow document to be checked out while in Approval Process 

While CHECKED, documents can be checked out while in Approval Queue.

While UNCHECKED, documents cannot be checked out while in Approval Queue.

Hide checked-out documents in the Approval Queue from other users of the same group

While CHECKED, the checked out document will show in the Approval Queue only for the User who checked out the document.

While UNCHECKED, the checked-out document will show in the Approval Queue for all the members of the Approval Group.

Hide documents from Search & Catalog Browser when on an Approval Process

After capture, the document will be saved automatically in the Catalog Folder in the Folder browser, regardless of the Approval Process. The document file remains in the Catalog Folder regardless of the Approval Process. The document to be visible and searchable in the Folder Browser and Search Page, or other areas in Content Central User Interface, while it is in the Approval Process, is based on "Hide documents from Search & Catalog Browser when on an Approval Process" System Setting.

While CHECKED, and while a document is in the Approval Process or Approval Queue, the document will NOT be visible under Catalog Folder in the Folder Browser, and it will NOT be searchable, regardless of the User's or Groups' VIEW and/or SEARCH Permissions. The document will only be visible from the Approval Queue for the Approval Process Members and the Approval Queue Admins.

While UNCHECKED, the document will be visible and searchable for users and groups with VIEW and SEARCH permissions, regardless of the Approval Process.

Require PIN for Approval

While CHECKED, user's PIN will be required to approve or reject documents in the Approval Queue.

Allow content deletion in Approval Queue

While CHECKED, user or groups with DELETE Permission are allowed to delete a document from the Approval Queue, or while it is in the Approval Queue.

While UNCHECKED, while a document is in the Approval Queue, it cannot be deleted regardless of the users' or groups' DELETE permissions.
