Capture Job Feature


With Content Central, you can add documents by dropping them into a monitored folder or incoming folder, or by sending them to a monitored e‐mail address, but first you must configure a capture job.

Capture Jobs can be configured in 'Catalog Manager' in the Content Central Server.


Capture Job Configuration


Capture Job Name

Capture Source or Input Source
  • Folder – Capture Service monitors the Incoming Folder. Files saved in the Incoming Folder are captured or imported to Content Central.
  • Email – Capture Service monitors the Incoming Email Account. Email Message or the attachment to the email message are captured or imported to Content Central.

Incoming Folder
  • Path of the folder being monitored for capturing documents.
  • These path may be shared in the network.
  • These path can be used as an output folder for network scanners being used.

Incoming Email Account
  • ALL EMAILS MESSAGES ARE DELETED WHEN PROCESSED.

Process Subfolders, for Capture Source ‘Folder’
  • If CHECKED, subfolders in the Incoming Folder are also monitored.
  • If NOT CHECKED, subfolders in the Incoming Folder are not monitored.

Document Descriptor
  • None – No Document Descriptors are expected. No Zonal Recognition configured.
  • QCard – QCard Descriptor is expected.
  • XML – XML Descriptor is expected.
  • Zonal – Zonal Recognition is configured.

Bypass Coding Queue or ‘Bypass Coding Queue and send documents directly to Catalog’ Setting
  • If CHECKED, the document is sent straight to ‘Menu’ > ‘Folder Browser’ > Catalog Folder, based on the Catalog and Document Type configured.
  • If NOT CHECKED, the document is sent to ‘Menu’ > ‘Work Areas’ > ‘Coding Queue’, based on the Catalog and Document Type configured.
  • If not specified, refer from QCard Coding Method.
Processing Type
  • Image – Image files (tif, jpg, bmp, etc.) are expected. Image files are processed for OCR and converted into full-text searchable PDF file.
  • Electronic – File of any type are accepted and will be captured or imported to Content Central in its original format. Files are not processed for OCR.
  • If not specified, refer from QCard, XML or other document descriptor.

Steps to Configure Capture Job Incoming Folder

Incoming Folders are also referred to as "Monitored Folder".


Steps to Capture Documents using Capture Job Incoming Folder

  1. Optional. Share the Incoming Folder in the network, or your users.

  2. Optional. Setup your network scanner to save scanned documents to the Incoming Folder.

  3. Capture a new document.

  • Open the Incoming Folder using File Explorer.
  • Save/Copy a file or scan a document to the Incoming Folder. Momentarily, the file will disappear.
If Bypass Coding Queue is CHECKED -
  1. Login to Content Central as user with the permission to VIEW documents from the Catalog and Document Type configured for the Incoming Folder.
  2. Go to ‘Folder Browser’. Locate or retrieve the document in the ‘Folder Browser’ based on the Catalog and Document Type configured for the Incoming Folder.
If Bypass Coding Queue is NOT CHECKED -
  1. Login to Content Central as user with the permission to ADD document to the Catalog and Document Type configured for the Incoming Folder.
  2. Go to ‘Work Areas’ > ‘Coding Queue’. Locate or retrieve the document in the Coding Queue based on the Catalog and Document Type configured for the Incoming Folder.
  3. In the ‘Properties’ Panel, click ‘Commit’ to assign the document to the Catalog and Document Type.

Steps to Capture Documents using Capture Job Incoming Folder with QCard Document Descriptor

  1. Optional. Share the Incoming Folder in the network.
  2. Optional. Setup your network scanner to save scanned documents to the Incoming Folder.
  3. Print a QCard. (See steps below.)
  4. Capture a new document.
  5. Scan your document  to the Incoming Folder,  with a QCard as the first page, and optionally EOD QCard at the end of the stack. In between the stack of pages, insert another QCard to signify a new document.
  6. Momentarily, the file will disappear from the  Incoming Folder.


If the QCard is ‘Pre-capture coding’ –
  1. Login to Content Central as user with the permission to VIEW documents from the Catalog and Document Type in the QCard.
  2. Go to ‘Folders Browser’. Locate or retrieve the document in the Folders Browser based on the Catalog, Document Type and Fields in the QCard.
If the QCard is ‘Post-capture coding’ or ‘Versatile coding’ –
  1. Login to Content Central as user with the permission to ADD document to the Catalog and Document Type in the QCard.
  2. Go to ‘Work Areas’ > ‘Coding Queue’. Locate or retrieve the document in the Coding Queue based on the Catalog and Document Type in the QCard.

Steps to Print a QCard

1. Login to Content Central as a user with permission to ADD documents.

2. Click ‘Capture New’> ‘QCard’ in the Navigation Panel.

3. Under ‘Document Properties’, specify your preference.

Refer from this link regarding Types of QCards.

4. Specify the Catalog, Document Type and Fields.

5. Click OPTIONS to specify your preference for the following options -
  • Fixed Page Count. Specify Page Count.
  • Perform key-field lookup at capture time.
  • Include End-of-Document QCard.
6. Click ‘Go’ to generate the QCard page.

7. The QCard page will preview or download depending on your browser settings.

8. Print the QCard.


Troubleshooting Notes

Ademero Content Central Capture Service must be running in the server for Capture Job Capture Method to work.
