Understanding Content Central Capture Process

Notes
Product: Content Central
Best For: Administrators
Industry: All
Summary: This article outlines Content Central Capture Process.

Content Central supports two main capture methods based on file types: "Image" and "Non Image" processing. The capture process automatically routes documents through a defined workflow that builds documents, extracts indexes, applies OCR for images, and manages unprocessed files and issues. This article explains the flow of the capture process to assist administrators in configuring and troubleshooting document capture.

Capture Process Overview

Content Central differentiates between two processing types based on file characteristics:
  1. Non Image Processing: Handles files with built-in indexes (e.g., electronic XML, PDF without images).
  2. Image Processing: Handles image-based files (e.g., scanned images like PDF, TIFF, JPG, GIF).

Capture Methods by Processing Type

Non Image Processing Methods

  1. Capture Job with Processing Type "Electronic"
  2. Capture Job using "Electronic" XML
  3. Web Services Capture Methods with Non Image Processing:
    1. Capture New > Electronic > Any Non-PDF File
    2. Capture New > Electronic > PDF Action: Capture As Is
    3. Capture New > Capture Form
    4. Add Entry
    5. Copy and Paste
    6. CCOI (Content Central Office Integration)
    7. CapturePoint using Content Central Connection
      Paige using Content Central Connection

Image Processing Methods

  1. Capture New > Electronic > PDF Action: Make Searchable
  2. Capture New > DirectScan
  3. Capture Job with Processing Type "Image"
  4. Capture Job with Document Descriptor "QCard"
  5. Capture Job with Document Descriptor "Zonal"
  6. Capture Job using "Image" XML

Capture Process Flow

1. Starting the Capture Job
The capture job begins using one of the capture methods depending on the document type and processing type.

2. Capture Service Running
The Capture Service must be running to process incoming files.

3. Determine Processing Type
The system checks if the incoming file is "Image" or "Non Image" processing type.

4. Non Image Processing Flow
Files with built-in indexes are processed by the Electronic DocumentBuilder to build documents.
The document is saved in the Catalog Root Folder.
The document's indexes are saved in the Catalog Index Root Folder.
Workflow rules begin processing after document save.
Files with issues are moved to the Unprocessed Folder.

5. Image Processing Flow
Image file types supported: .pdf, .tiff, .jpg, .gif.
Files are processed using Image Split OCR and QCardProcessor.
When images are OCRed and QCards are detected, the following occur in sequence:
    1. Define Build Order
    2. Zonal Detection
    3. Blank Page Removal
The DocumentBuilder builds documents from processed image data.
The image file is converted to OCRed PDF with embedded indexes.
Files with issues are moved to the Unprocessed Folder.

6. Issue Handling
Any files that encounter problems during processing are moved to the Unprocessed Folder for administrative review and correction.

Important Notes

  1. The Capture Service must be running continuously for capture jobs to process documents correctly.
  2. Proper configuration of processing types ensures documents are correctly routed through the system.
  3. The system supports both manual and automated workflows depending on document capture method and type.
  4. OCR and image processing improve the searchability and indexing of scanned documents.
  5. The Unprocessed Folder is a critical location for troubleshooting capture errors.
